Real Estate Sales Assistant / Sales Secretary/

Job Description

The Role:
You are the critical link between our AI tools and our human sales superstars. You will leverage Bitrix24 to its fullest potential to ensure our sales agents can focus on what they do best: closing deals. Your support in managing leads, appointments, and communications will be multiplied by smart technology.

Key Responsibilities:

CRM & Lead Management: Meticulously manage and update the sales pipeline in Bitrix24. Qualify incoming leads and assign them to agents based on AI-driven scoring.

AI-Augmented Scheduling: Manage complex calendars for multiple sales agents, using AI scheduling tools to book appointments and avoid conflicts.

Client Communication: Serve as a first point of contact, handling calls and emails with professionalism. Use pre-approved AI-generated templates for efficient communication.

Document Preparation: Prepare proposals, contracts, and presentation materials for the sales team.

Sales Support: Provide general administrative support to ensure the sales team operates at peak efficiency.

KPIs (Key Performance Indicators):

Ensure 100% of leads are logged and actioned in Bitrix24 within 15 minutes of receipt.

Achieve a 95% accuracy rate in scheduling and calendar management.

Reduce administrative task time for sales agents by 50%.

Maintain a client satisfaction score of 95% for responsiveness.

Skills, Knowledge & Expertise:

Previous experience in a sales support, administrative, or secretarial role.

Exceptional organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Basic understanding of sales processes.

AI & Tech Adoption:

Required: Advanced proficiency in Bitrix24 CRM and the Microsoft Office/Google Workspace suites.

Ideal: Experience with AI scheduling tools (e.g., Calendly), auto-dialers, and communication platforms.
