Are you a master of multitasking with a passion for the fast-paced world of Dubai real estate? Hanson Properties LLC is seeking a dynamic, highly organized, and proactive Administrative Assistant/PA to join our growing team.
In this dual role, you will be the backbone of our office operations and the right hand to our leadership, ensuring everything runs like a well-oiled machine.
Key Responsibilities
1. Executive & Business Operations
• Serve as the primary point of contact for the CEO, managing all internal/external communications, emails, and high-priority requests.
• Oversee a complex master calendar, coordinating briefings, daily schedules, and high-level meetings with clients, partners, and senior executives.
• Manage property portals (Bayut, Property Finder), ensuring listings are pristine. Handle the full documentation cycle, including KYC, Tenancy Contracts, Form A, and Form B.
• Maintain the lead database with precision, ensuring consistent follow-ups and zero data leakage.
2. Logistics & Travel Management
• Coordinate seamless global travel, including flights, luxury accommodation, and ground transportation.
• Manage visa requirements and travel permits, providing detailed, minute-by-minute itineraries.
• Adapt and resolve travel disruptions or emergency changes in real-time.
3. Lifestyle & Personal Administration
• Manage personal bills, recurring subscriptions, and household expenses.
• Schedule medical and family appointments, manage special occasions (gifts/events), and handle personal errands.
• Coordinate with household staff, service providers, and vendors to ensure personal residences run smoothly.
4. Office & Project Organization
• Coordinate with external specialists, including accountants, lawyers, and consultants.
• Act as the face of the office, managing vendor relationships, office supplies, and physical/digital filing systems.
• Proactively manage deadlines and project milestones to ensure the CEO remains focused on high-value tasks.

We are seeking a high-caliber Executive Assistant & Operations Specialist who functions as a tech-savvy “fixer.” You are someone who operates with total discretion, possesses high emotional intelligence, and consistently anticipates the needs of the CEO before they are even voiced.
1. Professional Experience & Local Expertise
• Mandatory 2–3 years of Real Estate Administration experience specifically within the Dubai market.
• A deep, working understanding of DLD (Dubai Land Department) procedures and RERA regulations to ensure seamless compliance.
• Proven track record in Executive Support, Personal Assisting, or Lifestyle Management, comfortably bridging the gap between business and personal spheres.
2. Technical Mastery
• Power-user of industry-standard CRMs (e.g., PropSpace, MyCRM) and major property portals (Bayut, Property Finder).
• Mastery of the MS Office Suite, advanced calendar management tools, and digital travel/logistics platforms.
• Ability to leverage technology to streamline workflows and maintain meticulous digital records.
3. Communication & Presence
• Exceptional written and verbal English skills with a polished, professional demeanor suitable for high-net-worth environments.
• While English is the standard, additional languages are considered a significant advantage.
• The ability to communicate with authority and grace when dealing with stakeholders, clients, and vendors.
4. Mindset & Attributes
• A proactive problem-solver who remains calm, composed, and effective under high-pressure situations.
• A high level of trustworthiness and discretion when handling sensitive corporate and personal information.
